CutWise helps you track what you eat and reach your goals. This policy explains what we collect, why, who we share it with, and the control you have over it. We’ve tried to keep it plain.
Who we are
CutWise is operated by Carbon Software LTD, a company registered in Northern Ireland (company number NI735624) (“CutWise”, “we”, “us”). We are the data controller for the personal data described here. You can reach us about anything in this policy at info@cutwise.fit.
The short version
- We collect what you log and the profile details needed to compute your targets.
- What you submit for AI logging is sent to our AI provider to estimate calories and macros.
- When you ask the CutWise coach a question, relevant CutWise data is sent to our AI provider so the coach can answer in the context of your progress.
- We don’t sell your data, show ads, or use advertising trackers.
- You can export everything, or permanently delete your account and all of it, from inside the app at any time.
- If you join a coach, you choose exactly what they can see (for example food but not photos), and you can change it or leave your coach at any time. Their access ends the moment you do.
- Coaches using CutWise Pro can use AI tools on what you share with them, to summarise check-ins and draft replies. Those tools send it to our AI providers, who don’t use it to train their models.
What we collect
Account & identity. You can use CutWise anonymously — in that case your account is tied to a private key stored on your device, not to your name. If you choose to save your account, we store the email address and name your sign-in provider gives us (Sign in with Apple, Google, or an email and password). If you use Apple’s “Hide My Email,” we only ever see the relay address.
Profile & goals. Sex, date of birth, height, weight, dietary preferences and the goals you set — used to calculate your calorie and macro targets.
What you log. Your meals and exercise, weigh-ins, steps, and water. This includes the text, voice notes, or photos of meals you submit for AI estimation.
The CutWise coach. Questions you ask the coach, its replies, and the conversation history kept in your CutWise account.
Apple Health (optional). Only if you connect it: we read steps, weight, workouts, energy and body measurements, and write your logged meals, water, weight and workouts back. This happens through Apple’s on-device Health permissions, which you control and can revoke in iOS Settings at any time.
Subscription status. Whether you have an active CutWise subscription. Payments are handled by Apple and our subscription provider — we never receive your card or full payment details.
Technical essentials. Authentication tokens and a hashed device-recovery key so your account survives reinstalls, plus basic logs needed to run and secure the service. We do not use advertising identifiers, and we don’t track you across other apps or websites.
Analytics & crash diagnostics. To see how features are used and to find and fix bugs, we use privacy-respecting product analytics (PostHog) and crash/error reporting (Sentry), both EU-hosted. These record in-app events (such as a screen viewed or a meal logged) and technical crash data (device model, OS version, error traces) linked to your account id. Crash reports are configured to exclude your IP address and screenshots, and none of this is used for advertising or shared with data brokers.
CutWise Pro early access (coaches). If you request early access on our coach page (our waitlist), we keep your email address, and your name, business and how you found us if you give them; whether you asked for launch emails, with the wording you agreed to and when; and any answers to the optional survey that follows. No account is needed, and none of it is linked to the CutWise app.
Health data
Much of what CutWise handles — your weight, what you eat, your activity — is health-related and treated as a special category of data under UK GDPR. We process it only to provide the features you ask for, on the basis of your explicit consent, which you give by entering it or connecting Apple Health. We ask separately before sending relevant health data to our AI provider for the coach. You can withdraw consent by disconnecting Apple Health, resetting AI consent in CutWise, or deleting your account.
Coaching
If you’re coached
You can join a coach by accepting their invite in the app. When you do, you choose which of these they can see: food (including meal photos), weight, steps, workouts and training sessions, water, body measurements, and progress photos. Your coach also sees what you send them: messages, voice notes, videos and photos in your chat, your check-ins and their answers, your answers to their joining questions, and how you said a training session went.
- We share these with your coach only on your explicit consent, which you give when you choose them. You can change them at any time in the app, and leaving your coach ends their access straight away.
- Your coach can only see what you logged from the day you joined them.
- Your coach can set your calorie and macro targets and your training programme, and leave notes and reactions on your meals. These appear in your app.
- When you leave, you keep all your own data, and your coach can no longer see anything in CutWise. Check-ins and chat are part of the coaching, so they close when it ends.
- While you’re coached, your coach’s plan may cover your CutWise subscription.
- Coaches may not invite anyone under 16, and you can’t join a coach if you’re under 16.
Your coach is responsible for how they use what you share with them, as an independent data controller; their contact details are on their profile in the app. CutWise isn’t responsible for advice your coach gives you.
If you’re a coach (CutWise Pro)
We collect your name, email, business name, logo, photo and brand colour, your plan and billing details, and what you create on CutWise Pro: notes, programmes, templates, check-in forms, meal plans, messages, exercise videos you upload, and your conversations with your assistant (Metis), including voice. For what you create about your clients, we act as your processor under our Data Processing Agreement. Payments for CutWise Pro are handled by Stripe; we never see your full card details.
How we use it
- To estimate the calories and macros of what you log, via our AI provider.
- To answer questions you ask the coach about your Programme and recorded progress.
- To compute your program targets and show your progress over time.
- To sync with Apple Health, when you connect it.
- To run, secure, and support the app, and to manage your subscription.
- To understand how the app is used and to detect and fix crashes and bugs.
- To send essential account and verification emails.
- To occasionally ask for your feedback by email, for example after you cancel your subscription. These are never sales emails, and you can opt out at any time by replying or using the link in the email.
- To let coaches see what their clients choose to share, message them, set targets and programmes, and review check-ins.
- To power coaches’ AI tools: check-in summaries, draft replies, ranking who needs attention, and the assistant (Metis) a coach types or talks to.
- To bill coaches for CutWise Pro and voice credit.
- To run CutWise Pro early access and its waitlist, shape the product with your survey answers, and, if you asked us to, email you about its launch.
Our legal bases under UK GDPR are: performance of our contract with you (to provide the app and your subscription), your consent (for health data and optional integrations), our legitimate interests (to keep the service secure, stable, and improving, and to ask for your feedback), and compliance with our legal obligations.
Who we share it with
We don’t sell your data. We share it only with the service providers that make CutWise work, each acting on our instructions:
- Convex — our database and backend, where your account and logs are stored (hosted in the EU).
- OpenAI (a third-party AI service) — receives the meal or exercise descriptions, voice transcriptions and meal photos you submit for AI logging. When you ask the coach a question, OpenAI also receives that question, recent conversation context, and relevant CutWise data such as your Programme targets, recent meals, weight, steps, workouts, water, energy and body measurements where available. We ask for your consent in the app before anything is sent. Data is submitted via OpenAI’s API and, under their API terms, is not used to train their models; OpenAI is contractually bound to protect it with the same or equivalent safeguards described in this policy. For coaches, OpenAI also powers the voice version of the coach’s assistant (Metis), which may include information clients have shared with that coach. Your email address, login credentials and payment details are not sent to OpenAI.
- Anthropic (a third-party AI service) — powers the coach’s typed assistant (Metis), check-in summaries, draft replies and the ranking of clients who need attention. It receives the coach’s question and the information about their clients needed to answer it. Data is sent through Anthropic’s API and isn’t used to train their models.
- Stripe — handles CutWise Pro payments, invoices and voice credit for coaches. We never receive full card details.
- Cloudflare — hosts the coach dashboard, and stores and delivers exercise videos and media coaches upload (Cloudflare R2, EU).
- Apple — Sign in with Apple, App Store payments, and on-device Apple Health.
- Google — only if you choose Sign in with Google.
- RevenueCat — manages your subscription entitlement (alongside Apple).
- Resend — sends transactional emails (e.g. sign-in verification).
- Open Food Facts — when you scan a product barcode, only that barcode is sent to this public food database to look up the item; no personal data is shared.
- PostHog — privacy-respecting product analytics (in-app and coach dashboard usage events), EU-hosted. On the coach dashboard, text on screen is masked and no session recordings are taken.
- Sentry — crash and error reporting for the app and the coach dashboard, EU-hosted (no IP address, no screenshots).
We may also disclose data if required by law, or to protect our rights, users, or the safety of others.
Where your data goes
Your account and logs are stored in the EU. Some providers above (such as OpenAI, Anthropic, Stripe, RevenueCat and Resend) process data in the United States. Cloudflare R2 storage is in the EU. Where data leaves the UK/EU, it is protected by appropriate safeguards such as Standard Contractual Clauses or the providers’ equivalent transfer mechanisms.
How long we keep it
We keep your data for as long as your account exists. Anonymous accounts persist via your device key so your history is there when you come back. When you delete your account, we remove your data from our systems; backups and provider logs age out shortly after in the ordinary course.
We keep CutWise Pro waitlist entries and survey answers until a year after CutWise Pro launches, then delete them. Email us at any time to have yours removed sooner, or unsubscribe from launch emails with the link in any of them.
If a coach closes their CutWise Pro account, we delete what belongs to that coaching: notes, programmes, meal plans, check-ins and their answers, chat messages, the coach’s assistant conversations and uploaded videos. Their clients keep everything they logged themselves.
Your rights
Under UK GDPR you have the right to access, correct, delete, restrict, or object to our use of your data, and to data portability. The quickest way to exercise the main ones is built into the app:
- Export your data (Settings › Your data › Export data).
- Delete your account and everything in it (Settings › Your data › Delete account).
For anything else, email info@cutwise.fit. If you believe we’ve mishandled your data, you can complain to the UK Information Commissioner’s Office at ico.org.uk.
Security
Data is encrypted in transit, secrets are stored hashed, and access is limited to what’s needed to run the service. No system is perfectly secure, but we take reasonable steps to protect your information.
Cookies & this website
This website uses Cloudflare Web Analytics to understand page visits, referring websites, device types and page performance. The analytics service does not use cookies or local storage to track visitors, or fingerprint individuals. Cloudflare also processes website requests to deliver and protect the site.
Download buttons pass through a CutWise redirect before opening the App Store. We use aggregate request counts for these links to understand which parts of the website lead people to the store. These counts may include automated traffic and are not a count of downloads. Apple may report aggregate campaign attribution when a campaign link is used. We do not send your meal or Apple Health data through website analytics.
Children
CutWise is not intended for anyone under 16, and we don’t knowingly collect data from under-16s. Coaches may not invite under-16s, and joining a coach is refused for anyone whose date of birth shows they’re under 16. If you believe a child has given us their data, contact us and we’ll remove it.
Changes
We may update this policy as the app evolves. We’ll change the date at the top, and for significant changes we’ll make a reasonable effort to let you know.
